The agreement between your studio and Kilnflo.
Last updated: 9 October 2026
Kilnflo is operated by Kilnflo (ABN 79 893 326 063) ("Kilnflo", "we", "us"). These terms govern your use of kilnflo.com and the Kilnflo software (together, the "Site" and the "service"), and are between us and the pottery studio or business that signs up for a Kilnflo subscription ("you", "your studio"). By using the Site, and by ticking the agreement box on the payment page when you start your trial, you confirm that you have read and understood these terms and agree to abide by them at all times. Kilnflo signup is currently available to Australian studios only.
Kilnflo is software as a service for running a pottery studio: kiln scheduling, piece tracking, bookings and billing of your own members. You choose a plan; each plan includes the features listed for it on our pricing page. SMS credit packs are available to top up the service (see section 9). We may improve or change the service over time.
We try to make the information, descriptions and images on our Site as accurate as possible, but we cannot guarantee that every detail is correct, and they do not bind us. You agree to buy goods and services from our Site at your own risk.
When you create an account on our Site, you agree that:
We may suspend or terminate your account if you use our Site illegally or break these terms.
A new studio gets one free trial of one month, starting when you sign up. The trial includes 30 SMS credits, whatever plan you choose (see section 9). We ask for a card when you start the trial so the subscription can continue when the trial ends, but we do not charge your card during the trial. If you do nothing, your first charge is on the day the trial ends, at the subscription rate of the plan you selected. There is one free trial per studio. You can cancel your trial at any time inside your dashboard, or contact us at hello@kilnflo.com for help.
If a payment fails we will email you and retry the card automatically for up to one week. You can update your card from your studio's billing page at any time. If the payment still has not gone through when the retries end, your subscription is cancelled and your studio stays read-only for 1 week, so you can still see your data. This gives you at least 14 days (up to 15 in total) to resolve any billing issues. You can restore access during that time by updating your card and paying. If no payment is made after the read-only week, we will cancel your studio. If you need more time or assistance, please contact us.
Refunds are at our discretion, except where Australian law says otherwise. As a general rule we do not refund the part of a month that has already been paid for, any unused credit left on your account when you cancel, or SMS credit packs (see section 9). If we cancel an order and have already taken your payment, we will refund the amount you paid, and it is your responsibility to check that the refund has arrived.
Some features send text messages using SMS credits. Each plan includes SMS credits every month (Mug 100, Bowl 200, Vase 350 and Teapot 700), and the free trial includes 30 SMS credits in total. You can buy top-up credits in packs, and the plan's monthly credits are used before any top-up credits. One credit covers one text message of up to 160 characters. A longer text is sent in parts of up to 153 characters and uses one credit for each part, so credits are not a promised number of texts. A text that is too long, or has characters an SMS cannot carry, is not sent. SMS packs are non-refundable once purchased. Top-up credits do not expire while your subscription is active. If your subscription is cancelled, any top-up credits you have not used are forfeited.
Your studio's data belongs to your studio. We keep it while your subscription is active and, after cancellation, for 90 days (if your subscription ended because a payment failed, the 90 days start when the read-only period in section 6 ends), after which we may delete it. We keep our own billing and event records for the period required by law. You are responsible for having the right to enter your members' and customers' information into Kilnflo and for giving them your own privacy notice. How we handle personal information is described in our Privacy Policy.
All content published and made available on our Site and in the service, including images, text, logos, documents, downloadable files, software and anything else that makes up the Site, is the property of Kilnflo and the Site's creators.
You agree to use Kilnflo lawfully, to keep your login details secure, and not to send spam or abusive messages through the service. We may suspend a studio that breaks these terms or that puts the service or other studios at risk, and will tell you why where we can.
Our Site may link to third-party websites or services that we do not own or control. We are not responsible for their content, policies or practices. It is your responsibility to read the terms and privacy policies of those sites before using them.
We aim to keep Kilnflo available and accurate but cannot promise it will never be interrupted or error-free. To the extent the law allows, we are not liable for indirect or consequential loss, and our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim arose.
Except where the law prohibits it, by using the Site you indemnify and hold harmless Kilnflo and our directors, officers, agents, employees, subsidiaries and affiliates from any actions, claims, losses, damages, liabilities and expenses, including legal fees, arising out of your use of our Site or your breach of these terms.
Where the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010), or any other consumer protection law that applies to you, cannot be excluded, these terms do not limit your legal rights and remedies under that law and are to be read subject to its mandatory provisions. If these terms conflict with those provisions, the mandatory provisions apply.
We may update these terms to keep up with the law and with changes to the way we run the Site and expect it to be used. If a change is significant we will email you before it takes effect, or post a notice on our Site. Continuing to use Kilnflo after that means you accept the updated terms.
If any provision of these terms is found to be inconsistent with or invalid under applicable law, that provision is treated as void and removed. All other provisions are unaffected and remain valid.
These terms are governed by the laws of the State of New South Wales, Australia, and you and we submit to the courts of that State.
